Job Description

We have an excellent opportunity for a Project Coordinator, Science & Medicine in our National Center office in Dallas, TX.

The Project Coordinator, Science & Medicine will be responsible for supporting Science and Medicine Advisors by coordinating the science review process, coordinating logistics of science subcommittees, managing special projects as assigned and providing general administrative support.

Major Responsibilities Include:

  1. Responsible for logging Science Reviews into database and tracking them through the system
  2. Responsible for delivery of Science Reviews to assigned Science and Medicine Advisor and notifying them of impending deadlines
  3. Responsible for timely delivery of Science Reviews to the customer
  4. With Science and Medicine Advisors as the primary contact, manages logistics of all science subcommittees meetings, including meeting notification and registration, agenda development and distribution, scheduling of teleconferences, and records management.
  5. Acts as the primary contact between the chairperson and the staff scientists.
  6. Manage Calendars and coordinate travel arrangements
  7. Complete PeopleSoft Enterprise One expense reports as required
  8. Faxing, Copying, sending UPS packages as required
  9. Ordering Office Supplies and from the Resource Center as necessary
  10. Responsible for receiving, screening and routing incoming telephone calls from the general public, medical/scientific volunteers, Affiliate and National Center staff including rollover calls from the Chief Science Officer
  11. Providing inquiries from the Richardson Call Center to Senior Science Advisors and to the Senior Scientist, Special Assistant to the Chief Science Officer
  12. Pickup and delivery of mail and rerouting mail as necessary
  13. Manage or support other projects outside of council or science committee responsibilities
  14. Arrange teleconferences with volunteers and staff as requested
Required Experience
  1. Minimum of 3 years administrative planning and project coordination experience, demonstrating ability to organize and manage multiple complex projects from beginning to end, simultaneously, and with minimal supervision.
  2. Minimum of 2 years working in medical/scientific environment using medical terminology.
  3. Previous experience working with medical terminology preferred.
  4. Excellent time management skills and ability to work well under deadlines and high production requirements.
  5. Excellent oral, proofreading, spelling and grammar skills as well as attention to detail and accuracy in all written communication.
  6. Knowledge of/experience with electronic communications technologies.
  7. Accurate typing skills required.
  8. Ability to meet and deal effectively with all levels of AHA staff, volunteers, senior executives and constituents.
