We have an excellent opportunity for an Project Coordinator in our Emergency Cardiovascular Care (ECC) Department, to be based at our National Headquarters in Dallas, TX.
Our Emergency Cardiovascular Care (ECC) Programs (CPR, First Aid and related training) educate healthcare providers, caregivers, and the general public on responding to cardiovascular emergencies, cardiac arrest and stroke. ECC is dedicated to increasing public awareness of the importance of early intervention and ensuring greater public access to defibrillation. ECC programs train over 13 million people every year.
The Project Coordinator will provide administrative support to the Director of ECC Science, Science Medicine Advisor (SMA), Publications Manager and Committee Manager. Responsibilities include: assist with meeting logistics and on-site management; assist volunteers with travel arrangements; ensure meeting satisfation survey is developed, posted, closed and distributed to ECC Science team for review of comments; development of Conflict of Interest report for committees and statements; assist with annual budget planning, review monthly budget reports with Director of Science along with investigating discrepancies and submitting request for transfers when required.
This position will arrange conference calls; take and distribute meeting minutes; update personal calendars to schedule time for product reviews; work with Adelman Travel when required regarding travel arrangements and/or charges; maintain department database; process volunteer expense reports and process expense reports for the Director of Science and department SMA; submit invoices into Financial system for payment; process consultant contracts related to ILCOR; enter statement proposals into BenchPress; respond to volunteer inquiries and provide assistance; assist AHA co-workers with various requests or inquiries; and other duties as assigned.
Qualified candidates will have the following experience and background:
- Some college experience is a plus.
- 2+ years of administrative secretarial experience required.
- Knowledge of standard secretarial practices, office procedures, record keeping and telephone etiquette.
- Competent in business English, spelling, grammar and punctuation.
- Excellent written and oral communication skills.
- Ability to type 45+ wpm.
- Ability to meet and deal with all levels of AHA staff and volunteers.
- Excellent PC/word-processing skills in appropriate software.
- Good knowledge of office management procedures.
- Ability to take on special/multiple projects and complete successfully in absence of supervisor.
- Ability to prioritize assigned projects/tasks.
- Ability to travel approximately 10% of the time including weekends and overnight when necessary.
- Ability to maintain existing and create multiple filing systems (hardcopy and electronically).
- Knowledge of medical terminology a plus.
