We have an excellent opportunity for a Program Coordinator, Professional Membership in our National Center office in Dallas, TX.

The Program Coordinator, Professional Membership will provide administrative staff support for Scientific Councils and associated committees including assistance with volunteer management of Scientific Councils and support of the Councils team.

Major Responsibilities Include:

  1. Working knowledge of department budget and conscience effort to contribute to budget goals of departmentManage project timelines, deadline compliance and effective communication and dissemination of both.
  2. Establishing trusted communication with internal AHA staff and anticipate needs and expectations.
  3. Working with OSO and internal departments to meet department goals and establish OSO as a leader in AHA.
  4. Provide excellent customer service to internal and external customers.
  5. Efficient and facile within vendor and/or AHA systems i.e. E1, COI, Siebel, etc,
  6. Coordinate meetings, activities, teleconferences, projects and volunteer services for AHA Councils and committees, including the processes and standard operating procedures for meeting registration and preparation, Council committee appointments, and AHA nominations and awards.
  7. Manage and implement process for invitation, collection and management of COIs for all potential Council committee members, including examination for completion of all COIs, follow up with potential committee members as needed, and adherence to the Standard Operating Procedures for COI.
  8. Serve as the key staff liaison and primary contact for the Get with the Guidelines and Executive Database Steering Committees, including agenda development, minutes and all meeting details and daily functions
  9. Monitor and assist with recruitment and retention of Professional Members for Scientific Councils.
  10. Assist Council Program Managers and Senior Manager in projects and daily functions of managing the Councils, including training and serving in a back up capacity to Council Program Managers.
Required Experience
  1. Bachelor's degree preferred.
  2. Minimum of two years experience involving structured project management preferred.
  3. Previous non-profit experience preferred.
  4. Excellent time management skills and ability to work well under deadlines and high production requirements.
  5. Excellent problem solving skills
  6. Experience with PC office automation tools, including the advanced features of MS Office Professional Suite
  7. Excellent organizational skills.
  8. Ability to coordinate multiple projects in a fast paced environment.
  9. Excellent oral, proofreading, spelling and grammar skills, as well as attention to detail and accuracy in all written communication and business correspondence.
  10. Ability to travel up to 10% of the time, including occasional nights and weekends.
